Evaluation Insights
Data insights for evaluation is about taking the patterns that were identified in analysis and making sense of their meaning and potential impact to the work you do. In a nutshell, evaluation insights are what you can do with the findings, as well as what it all means for your organization, industry, or field.
Reports
What is it? Data planning, collection, and analysis culminate into final evaluation reports that describe the what, how, and why it matters (so what?) to respective audiences. A final evaluation report is a written document that presents the findings, conclusions, lessons learned, and recommendations from a particular evaluation. These recommendations may be used for making ongoing improvements and decision-making for current projects or for future projects or programs. It is important to note that in the field of monitoring and evaluation, the term final refers to a particular time-bound element or for a specific activity.
Reports are only one of many communication methods, such as publications or conference presentations, to present evaluation results. As with any communication piece, the audience and function will most often dictate the format. Strong reports usually include:
- Title page
- Executive summary
- Intended use and users
- Program description
- Focus of Evaluation
- Data sources and methodology
- Results (analysis), conclusions, and interpretation — this includes lessons learned and recommendations
- Dissemination Plan
It is also important that data be presented with ineffective visuals, such as charts and figures, and that tools, such as a table of contents, an acronym list, references, and resources, clearly guide the reader through the report. Concepts such as utility, feasibility, accuracy, and propriety should also be addressed in reports.

Document review can provide important background information for an evaluation, and it can bring to light considerations or issues around a project that may not be possible through other means of data collection. Document review is also typically unobtrusive since it does not require collecting data from participants, and it can be relatively inexpensive.
Data from document review can be inaccurate, incomplete, biased, disorganized, or irrelevant, therefore, it can also be time consuming to compile, organize, and analyze a large volume of documents.
Semi-structured interviewing is the most common type, which includes an interview guide with pre-determined open-ended questions, but also the flexibility of allowing spontaenuous follow-up questions and probing to yield in-depth data.
